Appointment Types & Policy

The type of appointment you need depends on your concern.

Voice complaints that significantly affect daily activities:

In this case, you are eligible for voice therapy. We always schedule the first intake session for 60 minutes so there’s enough time for discussion, examination, and personalized advice. After this, 30-minute treatment sessions are planned in consultation.

No voice complaints, but you want to work on your speaking or singing voice:

A coaching appointment is suitable. Coaching can be a single session or several sessions, lasting 30 or 60 minutes. Ideally, the first coaching session lasts 60 minutes to give enough time to understand your goals and work on them.

 

Can’t attend?

No problem! Cancellation or rescheduling is possible up to 24 hours before the scheduled appointment. If you cancel later than 24 hours before the appointment or fail to show up, I will unfortunately still have to charge a fee.

Below are answers to common questions about fees and appointments. If your question isn’t listed here, feel free to contact me!

Do I need a referral?

Voice therapy is directly accessible, which means you can make an appointment without a referral. ⚠️ Important: this may affect reimbursement from your Dutch health insurance.

For reimbursement:

  • Either a referral from a physician is required,

  • OR a screening by the speech therapist during the first appointment takes place (not all insurers accept this) – in that case a report is sent to your GP.

If you do not have a referral and want insurance reimbursement, we conduct a screening (DTL) first and send a report to your general practitioner.

⚠️ Note: For insurers such as CZ (CZ, CZdirect, IZZ, Just, Nationale Nederlanden, OHRA) and ASR, a referral is always required.

Can I get insurance reimbursement?

Stemweijs does not have contracts with health insurers. However, speech therapy is included in the basic insurance package in the Netherlands, so you may receive full or partial reimbursement depending on your Dutch insurance and policy type.

For adults, the statutory deductible of €385 applies.

  • With a restitution or combination policy, you can choose any therapist and treatment is fully reimbursed (minus the deductible).

  • With a nature policy, care without agreements is partially reimbursed (approximately 50%–85%). This means insurance reimbursement for each treatment will be roughly €21.57 to €35.77 after the deductible.

How will I recieve the invoice?

You will receive the invoice by email in the week following your appointment.

How do I arrange reimbursement through health insurance?

Because I work as an independent voice therapist, all administrative matters are handled directly between you and Stemweijs. You will receive the invoice directly from me, pay it, and then submit the invoice yourself to your health insurer to request reimbursement.

✅ Tip: Submit the invoice to your health insurer as soon as you receive it. Many insurers reimburse within a few business days—often even before the payment deadline of the invoice expires. This way, you won't have to pay out of pocket in advance.

How do I submit the invoice to the health insurer?
Submitting the invoice is quick and easy via your health insurer's app or online portal:

  1. Log in: Log in to your health insurer's app or website.
  2. Submit a claim: Go to 'Submit claim' or 'New claim'.
  3. Upload invoice: Upload the invoice (the PDF file received by email).
  4. Upload referral letter (if requested and applicable): Upload a photo or scan of the referral letter from your GP/specialist (the required doctor details are also already listed on the invoice).

The health insurer will process the claim within a few business days up to two weeks and deposit the reimbursed amount directly into your bank account.
